2009 AGMGlenmore Woods held their AGM on March 25, 2009 at 7:00pm. The minutes in their entirety are shown below. Some of the topics covered in the meeting include; Glenmore Woods now has all board positions filled, as John Lucas was reelected and Tim Cummins joined the board, both for 2 year terms. A Landscape Committee was formed. Phase 2 of the hazardous tree maintenance has been completed. Mariani representatives on hand at the meeting addresses questions and provided a 2009 maintenance calendar.

1.        Election – John Lucas was elected through majority vote. Tim Cummins was nominated to the open board position and was voted unanimously by the board to fill the open position. John and Tim will be serving a 2 year term. All board positions are now currently filled.

2.        Minutes from the 2008-April-30 AGM were approved.

3.        New Business

a.       Landscape Committee – In accordance to the By-Laws of Glenmore Woods Homeowners Area Association, a Landscape Committee was formed by unanimous vote of the board. The Landscape Committee operates under the authority of the Board of Directors. The members of the Landscape Committee will serve a 1 year term. Membership is currently open for the Landscape Committee, and homeowners interested in joining the Landscape Committee should contact a member of the Board. The Landscape Committee consists of the following members:

b.      Landscape Committee Property Walk – April 18, 2009 9:00am. The Landscape Committee has scheduled a property walk with representatives from Mariani and Bartlett Tree Experts. There are several areas of concern that will be identified and recorded, so that the remediation can be cost estimated and prioritized.

1. Reconcile the hazardous tree remediation work that has been completed by Bartlett Tree Experts with the list that was provided as part of the 2 year plan.

2. Identify any other trees that need to be remediated that are away from property lines

3. Identify any trees that need to be remediated for preservation, and lastly for aesthetics

4. Identify common areas that need to be remediated for drainage threatening forestation.

5. Identify common areas that are most heavily populated with buckthorn

6. Identify common area pathways that are deteriorating.

7. Contact Lake County with regards to the buckthorn clearing they are doing adjacent to Glenmore Woods along with Forest Preserve path.

c.       Landscape Committee to report findings at the next Glenmore Woods Homeowners Association Meeting on April 29, 2009 at 7:00pm at the Lake Bluff Public Safety Building.

4.        Old Business

a.       Hazardous Tree Maintenance – Bartlett Tree Experts have completed the hazardous tree remediation, completing the second phase of a 2 phase effort in accordance with our budget. The Landscape Committee will reconcile the planned remediation with the actual remediation on a property walk on April 18, 2009 at 9:00am.

b.      Mariani Client Representatives Chris Russo and Jon Lee provided a question and answer session to address any of the Glenmore Woods issues. Issues covered in the session included:

1. Provided a maintenance calendar for 2009 that will be posted on www.glenmorewoods.org

2. Our horticulture day is Monday, and the mow day is Friday.

3. Spring Cleaning will be on Wednesday, April 1, 2009, weather permitting

4. Chris or Jon will notify us before fertilization treatments and that information will be posted on www.glenmorewoods.org.

5. So that issues and concerns can be properly recorded, please contact Sarah McMaster with any issues or concerns you have concerning Mariani and Sarah will address the issue with Mariani. Sarah can be contacted at 877-571-5061 or via email at http://snipurl.com/eqm1k

6. Mariani will walk the property with the Landscape Committee to identify areas that are in need of restoration and restoring the ecosystem.

7. Will provide Sarah an example of a 70 acre long term plan they just completed, similar to a proposal they could provide to Glenmore Woods.

6.        Open Forum

a.       Vehicle speeding in the neighborhood. The speed limit in Glenmore Woods is not to exceed 25MPH, but cars exceeding the speed limit present a serious danger to all residents as there are no sidewalks in the subdivision. A reminder to all residents will go out, but if speeding continues to be a problem, alternatives to eliminate speeding will be pursued.

b.      Work with Green Oaks to research emergency egress.

c.       Work with Green Oaks to remediate signage damaged by snow plows over the past winter.
